Projects

A project has three parts: Tasks, Plan and Journal. Plan holds Timeline, Week, Month and Milestones. Anything that concerns the whole project is in the menu at the top right.

Turned-on features add more entries, for example Save baseline or Plan sprint.

Views

Under Tasks there is one bar: on the left the button of the current view, next to it Display, and on the right Select. The view button opens the View window, where you choose how the tasks appear. When space is tight, Display shows only its icon.

  • List: grouped by milestone. With Display, you choose what to group by (Milestone, Status or Assignee, which shows who has what) and whether Completed tasks are shown.
  • Board: the columns Open, In progress, Waiting and Done. Tap a column to see its tasks. A task's column is its Status. You change it in the details.
  • Table: one row per task with Due date, Status, Assignee, Priority and Milestone.

Under Plan, you choose the view with the button on the left of the bar. It shows the current view, for example Timeline. The View window lists Timeline, Entire project, Week, Month, Milestones and, with turned-on features, Baselines, Workload and Effort and cost.

In the Timeline, the switches are under Display: Show names, Critical path (with Scheduling) and Move dependent tasks (without Scheduling). When a bar lies off screen as you swipe sideways, its name stays at the edge. Drag the handle of a selected task to move its due date. On a wide screen, the timeline uses the full width until you select a task. Done tasks carry a check mark, their name is paler and their bar is only outlined.

Entire project shows the same timeline scaled down so the whole project fits on screen without swiping sideways: from the earliest start to the project end or last date, with dependencies and milestones. The ruler then shows weeks or months. Here you only select and open tasks; to move one with the handle, switch back to Timeline, and the selected task stays selected. Wndrfalk remembers the choice for each project.

Project status

The project's status is at the top. Wndrfalk calculates it from tasks and milestones:

  • Off track: The date of the next milestone has passed, or the project end has passed and tasks are still open.
  • At risk: A task is overdue (with or without a milestone), a high risk has a passed Review date, tasks of the next milestone are due only after its date, an open task or milestone ends after the Project end, or a milestone is due in three days or less and fewer than half of its tasks are done.
  • On track: otherwise.
  • Complete: You have completed the project.

A sentence next to it gives the main reason. On a phone, the checks are in the same card below it. Tap the status to see the goal, progress, project end and the turned-on Features; on a wide screen, features and checks have their own rows. Under Projects, each project also shows small figures when there are any: overdue tasks, the delay of the next milestone in days (for example “+3 days”) and, with Risks and changes, the highest open risk (Risk: high, medium or low).

Milestones

A milestone is an important date in the project, for example “Planning complete”. You assign a task to a milestone in the details under Milestone.

  1. In the project menu, tap Add milestone. A long press on the yellow button works too.
  2. Write the Name and choose the Date.
  3. Tap Add milestone.

The list groups the tasks by milestone and shows the date and progress, for example “Nov 2 · 0 of 3 done”. Tap a milestone to see only its tasks. Show all milestones removes the filter. Under Plan › Milestones, each milestone is shown with weekday, date and the days until then.

To change one, tap the milestone and then its Menu: Edit milestone, Mark as reached or Delete milestone.

A milestone is reached when all its tasks are done. If it was reached after its date, Milestones and the Status report show, for example, “reached on Nov 10, 8 days late”.

Edit

In the menu, tap Edit project. You can change Name, Goal, Client, Project end, Success criteria and Out of scope, all optional, and choose a Color. Tap Save.

Templates

A template saves the tasks and milestones of a project for a new one.

  1. In the menu, tap Save as template.
  2. Write the Template name.
  3. Switch on Include project profile if the goal, client and criteria should come along. Comments, effort and costs are never included.
  4. Tap Save template.

You start a new project from the template with Projects › Create project and the template under Start. Check the dates afterwards. Under Me › Templates you see all templates. Delete removes a template.

Complete

  1. In the menu, tap Complete project.
  2. Open tasks: Tap Complete all or Move to another project. Skip leaves them open.
  3. Lessons learned: Answer the questions. Each answer becomes a journal entry of the type Lessons learned. Empty fields are skipped.
  4. Confirm with Complete project.

The project gets the status Complete. It stays readable and editable, and the checks are paused. Reopen in the menu undoes the completion.

Archive

In the menu, tap Archive. The project disappears from the list. Under Projects there is now Archived with the number of archived projects. Tap it, then Restore on the project to bring it back.

Delete

In the menu, tap Delete project and confirm. The project's tasks, milestones and journal entries go to the trash for 30 days.
