Features
Features extend a project. You turn them on per project. Tasks, milestones and the journal stay unchanged.
Turn on
In the project menu, tap Features (on a phone, also in the expanded status card), then a feature, then Turn on. If you tap it again later, you turn it off. Your data is kept.
Under Me › Features for new projects, you choose the features that are turned on in every new project. Existing projects don't change.
Checks
Checks shows hints about gaps in the project, on a phone as a row below the status, for example No goal or No project end. If an open task or milestone ends after the project end, it shows for example “Project end expected 5 days late”. Edit project opens the matching window. You can ignore every hint. Under Me, Checks in new projects decides whether they are on in new projects.
Columns and limits
Sets how many cards a column of the board should hold at most. The limit blocks nothing, it only shows when it is exceeded.
- In the Board, tap Display › Limits and enter the maximum for Open, In progress and Waiting. Empty means no limit.
- Cards in In progress and Waiting show since when they have been there. The age counts from the day you put the card there.
- Done per week is in the View window under Tasks and shows how many tasks were completed per week, for the last eight full weeks and the current week. Subtasks don't count.
Scheduling
Sets which task has to start or finish before which. When a predecessor moves, the successors follow. This is on when you turn the feature on. You can turn it off with Move successors’ dates automatically, when turning the feature on, under Features or in the Relationships window of a task. When it is off, successors stay where they are, and Relationships shows “Starts before the predecessor ends” with the predecessor’s name.
- Open the details of the task that comes later and tap Relationships.
- Tap Add predecessor and choose the task that comes first.
- Choose the Type: Finish to start, Start to start, Finish to finish or Start to finish.
- Set the Time gap in working days. Negative is lead, positive is lag.
- Tap Save.
The time gap counts working days from Monday to Friday. Public holidays are not taken into account.
Under Plan, the Timeline shows the tasks on a time axis. You turn on Critical path there under Display. In a task's Relationships, you see whether it is on the critical path, and its float. The float counts calendar days, the time gap counts working days. A Baseline freezes today's plan. Later, the plan shows how far the dates deviate from it. You save it with Save baseline in the project menu or under Plan › Baselines.
Sprints
Plan in sprints of a fixed length, for example two weeks, estimate tasks in points and see in the burndown how much is still open.
- When you turn it on, you choose Length in weeks and Start day. Existing tasks start out in the backlog.
- Under Tasks, tap the view button, then Sprints and Plan sprint, choose the current or next sprint, choose tasks from the backlog and tap Assign. You assign single tasks in the details under Sprint.
- Under Estimate points, you choose 1, 2, 3, 5, 8 or 13. This is a relative size, not hours.
- Sprints shows the current sprint (for example “Day 5 of 14”), the next one and the backlog. Unfinished tasks roll over into the next sprint at the end of the sprint.
- You change Length and start day there. The change applies from the next sprint.
Stakeholders
Lists the people who are involved in or affected by the project. The grid shows whom to give attention to first.
In the Journal, open the Stakeholders view and tap Add stakeholder. Choose or write Name and Role, choose Influence and Interest (Low, Medium or High) and the Attitude (supportive, neutral or opposed). The grid sorts by influence and interest. Medium counts as high there.
Capacity
Shows how busy you are in the coming weeks, across all projects. It is only about you, not about a team.
Under Me, tap Capacity (or turn the feature on in the project), enter your Weekly hours and tap Turn on. The feature applies to all projects. Under Plan › Workload, each calendar week shows the share, for example “15% · 6 of 40 h”.
The basis is the Planned effort field of each task. Tasks without planned effort count as 2 hours and are marked. Tasks without a due date don't count.
Risks and changes
Records what could go wrong, how likely it is and how hard it would hit. The matrix shows what comes first. In the Journal, the Register view appears. At the top you choose the Type: Risks, Opportunities, Assumptions, Issues or Change requests.
- In the view, tap Add risk.
- Choose the Type, write Title and Description.
- Rate Probability and Impact from 1 (very low) to 5 (very high).
- If needed, choose Assignee, Action, Review date and the Status: open, monitored, occurred or closed.
- Tap Save.
When the Review date is reached, the risk appears in Today under Risks. If it has passed for a high risk (score 10 or more, red in the matrix), the project is at least At risk. Below the Review date, Tomorrow and Next week set the next date.
If you choose the type Risk or Change request in a new journal entry, this window opens with the title and details. Older journal entries of the type Risk appear in the register until you rate them. The status report lists open risks with level, score and action, and, under Decisions needed, the open change requests.
A Change request records what should be changed in the agreed plan, and why. It has Title, Reason, Effect on dates and effort and Cost. The Status shows where it stands: open, approved, rejected or implemented.
Quality and approvals
Sets completion criteria. Every new task receives them as checkpoints. At a milestone, you can add a checklist. An open checklist is displayed and blocks nothing.
- In the Journal, open the Quality view, write a criterion under Completion criteria, for example “Result checked”, and tap Add. Existing tasks stay unchanged until you choose “Add to all open tasks”.
- Under Checklists, tap Add checklist and choose the milestone. The checklist is ticked off before the transition to the next phase.
Effort and cost
Records your own effort per task and keeps budget and expenses in view. The feature is meant for you yourself. It is not time tracking for work hours.
- Plan: In a task's details, tap Planned effort and set the hours, also in half hours.
- Record: Tap Recorded effort, choose the Date and enter Hours and Minutes. A Note is optional. Tap Add entry.
- Budget: Under Plan › Effort and cost, tap Budget and enter the Amount. With Add expense, you record Description, Amount and Date. Expenses are deducted from the budget.
The comparison of plan and actual appears as soon as tasks have a planned effort. Calculations are aids. Check them before you decide anything.
Custom fields
Creates your own fields for the tasks of a project, for example an amount, a date or a choice. The Table shows them as columns, with a total row. An Amount uses the currency of the project.
- In the Table, tap Display › Fields and Add field.
- Choose the type: Text, Number, Amount, Date, Choice or Yes/No.
- Write the name and tap Next.
- Enter a default value or leave the field empty. Tasks without their own value show the default value.
- Tap Create field.
There can be at most 10 custom fields per project. Under Display › Columns, you change the order of the table columns with the arrows. The title column always stays in place.
Export tasks as CSV in the project menu saves the tasks with status, dates, assignee and custom fields as a file for a spreadsheet program. Wndrfalk does not read CSV files.
